minutes from the september 2, 2008 meeting

Last night we discussed several items, the most important being our upcoming competition. We need all hands on deck that day! Please mark your calendars so that you can be available. There are plenty of places to work. Just let me know which one so I can write you down. You are welcome to choose more than one event so that you can float around.
 
1. Hospitality Room: This is reserved for band directors. We all will bring some sort of finger food dish (to be discussed later). We will need several people for this one. It is being chaired by Noella Deaton
 
2. Equipment: Providing and assisting visiting schools with transporting their props to the field. This will require several individuals. It is chaired by Travis Ard
 
3. Hosting: Jeff and Rebecca Clark will be chairing this position. Not sure how many positions are needed.
 
4. Parking is being taken care of by our own JRROTC!  Make sure you thank them!
 
5. Concessions: This is a big one! Lots of people needed throughout the day.
 
6. Changing Areas: Several chaperones, men and women, needed at all times. This is an inside job for those who can't tolerate the heat.
 
We need ads sold! The student who makes the most money will receive  $100. This is where we make most of our money. You can print sponsor letters from the website, www.pulaskicountyband.org.
 
In case you haven't been told Saturday practice has been changed. It is from 8:00-1:00 at Northern Middle School.
 
We will be painting props tomorrow during practice. ALSO, THERE WILL BE A BOOSTER MEETING EVERY THURSDAY IMMEDIATELY FOLLOWING  PRACTICE UNTIL OUR COMPETITION. There are 4 Saturdays until then. Please attend the meetings if possible. Remember, everyone is needed to make this a success.

6:00 p.m.

 

I.                    Somerblast Fundraiser Details

A.      Setup—We can setup anytime after 10:00 a.m.

B.      Coolers—Need to be dropped off tomorrow.  Designate someone to pick up ice from Pulaski Elementary.

C.      Update on donated items:  Buns, etc.

D.     Shifts—All Day, 12-4, 4-7, 7-close

E.      Designated jobs—cooks, etc.

F.      Prices for concessions.  Updated menu items.

G.      Parking—Workers will need to park either at East Somerset Baptist Church or other designated parking areas and be shuttled to Somersport Park.

 IV.               Sponsorship Letters—can be downloaded from website

A.      Discussed  levels (Gold $500, Silver $250, Bronze $100)

B.      All forms must be returned by August 13

 

V.                  Band Fees—If possible, pay in full ($185) at band camp.  $40 minimum payment to go on DCI trip.

 

VI.                Pulaski County Invitational Update

II.                  Car Washes—to help students earn money toward band fees.

minutes from the August 19, 2008 meeting

Pulaski County Band Boosters Meeting  meet on Tuesday, August 19th at 6:00 in the band room.
 
Items discussed:
 
1. Somernite's Cruise Block Party--Friday, August 22,  6:00-10:00. Donna Ard and Molly Johnson will pick up the supplies at Northern Middle after school. Michael Murphy will pick up the meat and Travis Ard will pick up the grill at Central Office. The buns will be picked up at PES on Thursday so they can be thawing.
 
2. Car Washes scheduled for Saturday, August 23rd at Forcht Bank from 8:00-12:00 AND Lowe's Parking Lot on Saturday, August 30 from 9:00 to 3:00. Once students have raised enough money to pay their band fees, all other money they earn will stay in an account for future out of town events.
 
3. Contest Updates:
    A.  Trophy Sponsors Letter and Ad Letter is online at www.pulaskicountyband.org website. It was decided that the student who raises the most money will receive $100 cash.
    B.  Possible fundraising at the event: buttons, decals, roses, event t-shirts
    C.  Next meeting to discuss concessions and other Invitational details will be September 2, at 6:00.
               ALL MEMBERS ARE ENCOURAGED TO ATTEND THIS MEETING.
    D.  All judges have been hired for the event.
 
4.  Prop Update: In progress. We have spent $130 on supplies. All other materials have been donated.
 
5.  Sharon Cherry had a sample decal made, Pulaski County Marching Band. These will be pre-ordered at $3.00 per decal. Please ask your student for an order form. Orders will be taken until September 28th.
 
6.  Clockworks t-shirt orders are due on Thursday, August 21st. These shirts are for parents/family only. Student shirts have been ordered.
 
7. Band Competition on September 27th will be at Louisville Ballard rather than Hart County.

The Pulaski County Band Boosters held a special meeting on June 16th at 6:00 to discuss upcoming events and dates. One very important item was fundraising. The boosters decided to set up a booth at the Somerblast event held at Somersport Park on June 28th.

    

Information to Know

  1. Chamber of Commerce Somerblast is a major fundraiser. Last year the event brought in over 15,000 visitors. Money made will go towards purchasing our custom arranged music and perhaps a custom arranged drill.
  2. Meet at Somersport Park at 12:00. There are time slots available through out the day to work. Fireworks are at 10:00.
  3. Mike Murphy will be inquiring about the sell of tenderloin or pork burgers and potatoes
  4. Donna Ard and Molly Johnson are in charge of donations for hamburger buns—We need 800.
  5. Rebecca Clark will be in charge of donations for potatoes. IF YOU KNOW ANYONE THAT WILL DONATE ANY OF THESE ITEMS PLEASE CONTACT MOLLY JOHNSON OR MR. SEXTON
  6. Coke has the exclusive on drinks so we have to purchase from them. We are asking each family to bring a cooler to put ice in so that we can keep the soda cold all day. One complaint from last years event was that no venders had cold drinks by the end of the night. With the coolers we can keep our soda iced down ALL day. You do not have to purchase the ice.
  7. SPECIAL MEETING ON THURSDAY JUNE 26 AT 6:00 TO TIE UP ANY LOOSE ENDS.

 

Other topics discussed:

  1. Band Camp dates: July 21-25 and July28-August 1   8:00am-5:00 pm each day. Performance for parents at 5:00 on Friday, August 1.   NOTE: ON JULY 25 A TRIP TO MASTERS OF THE SUMMER MUSIC GAMES AT MIDDLE TENNESSEE STATE UNIVERSITY IN MURPHEEBORO TN HAS BEEN PLANNED IN LIEU OF BAND CAMP.

 

  1. Band camp fees are set at $185. New members will also need to purchase gloves and shoes. NOTE: THE COST OF THE TRIP TO TN IS INCLUDED IN THE BAND FEES. STUDENTS WILL NEED TO HAVE MADE AN INITIAL PAYMENT OF $40 ON THEIR BAN D FEES IN ORDER TO ATTEND THE TRIP.

 

  1. Tentative Rehearsal Schedule: Monday and Thursday afternoons (full band and guard) 4:00 to 7:30.  FRIDAY AFTERNOON SECTIONALS WILL BE ANNOUNCED AT A LATER DATE. WE WILL KNOW IN ADVANCE OUR STUDENTS SECTIONAL SCHEDULE.

  1. CAR WASH date is July 11th. Time to be announced later.  This money is to help pay for students band fees. Money will be split between those in attendance.
